1. Booking Confirmation
A booking is confirmed once a completed booking form or written agreement is received. Until then, dates remain open to other enquiries. By submitting the booking form, you agree to these terms and conditions.

2. Deposit & Payment

  • Under some circumstances, a deposit may be required. This is usually for larger projects or when considerable travel is involved.

  • An invoice will be issued following the completion of the shoot or project.

  • Payment is due within 30 days of the invoice date.

  • Payment can be made via bank transfer or as otherwise agreed in writing.

3. Cancellations & Postponements

  • Cancellations made more than 14 days before the shoot will not incur additional charges, though any deposit paid may be retained.

  • Cancellations within 14 days of the shoot may be charged up to 50% of the agreed fee.

  • If the project is postponed, SW Photo & Film will make every effort to accommodate a new date without extra cost, subject to availability.

4. Weather & Force Majeure
In cases of severe weather, illness, or other events beyond our control, SW Photo & Film reserves the right to reschedule or cancel the booking. Any deposits or prepayments will be transferred to a new agreed date where possible.

5. Creative Direction
Unless otherwise agreed in advance, all creative and technical decisions (lighting, angles, style, editing choices) are made at the discretion of SW Photo & Film. Client feedback will be considered before final delivery, but major re-edits outside the agreed scope may incur additional costs.

6. Delivery

  • Edited photos and/or video will typically be delivered within the agreed timeframe (usually 1–4 weeks depending on the project).

  • Files will be provided digitally via online gallery or download link.

  • Raw files are not supplied unless specifically agreed before the shoot.

7. Usage Rights
Upon full payment, the client receives a royalty-free licence to use the content for agreed purposes (e.g., marketing, website, social media, internal use). SW Photo & Film retains copyright and may use selected images or footage for portfolio, website, and promotional use unless otherwise agreed in writing.

8. Client Responsibilities
The client must ensure that:

  • Necessary permissions and access to the location are granted.

  • All required persons, props, or products are present and ready at the agreed time.

  • Any safety requirements or site rules are communicated in advance.

9. Liability
SW Photo & Film will take all reasonable care in capturing and handling imagery but accepts no liability for loss, damage, or injury beyond the total value of the booking. Backup copies are retained for a reasonable period after delivery, but long-term storage is the client’s responsibility.

10. Confidentiality
All information and materials shared during the project are treated as confidential and will not be disclosed to third parties without permission.

11. Acceptance
By submitting the booking form, you acknowledge that you have read and agree to these terms and conditions.
